Calling New Professionals

AIM25 is an educational charity supporting the development of and public access to historical archives held in the London area. We are currently seeking at least two enthusiastic volunteers to help support this service.

AIM25 has been a pioneering archival service for nearly twenty years, managing both the UK Archival Thesaurus (UKAT) as well as a website that currently publishes 18,000 collection level descriptions of archives held in some 150 London archival institutions including universities, local authorities and learned societies. We also provide professional support, training opportunities and advocacy for archivists in the capital through a mailing list and three training events annually.

The roles would be ideal as part of CPD or ARA Registration and would be run for a two-year term in the first instance from July 2018. They present an unrivalled networking opportunity as AIM25 has national reach and an international reputation, notably through the recent Archives Africa project, an academic-led project at King’s College London.

Each volunteer might expect to work twenty days, or 140 hours per annum on AIM25, which will be flexible and by arrangement. Full support will be provided by the AIM25 Trustees (all experienced archivists) and all decisions will be made in consultation with them.

The successful applicants would be required to help with the following duties:

Membership support

  • Organising meetings with member organisations (3 per annum). These take place in different partner organisations so some negotiation is required to secure these spaces including access and refreshments, and in particular liaising with the Trustees to organise and manage the professional training talks/events that precede each business meeting
  • Collating and disseminating meeting agendas, minutes and reports and working with the AIM25 Secretary to keep such paperwork in good order
  • Publishing meeting minutes, etc. to the AIM25 list
  • Managing the Jiscmail – including adding and removing members
  • Supporting the Trustees in the management of the AIM25 charity, including annual reporting, GDPR compliance, arranging annual subscriptions payments from members and maintaining a current list of members
  • Supporting the Chair and Trustees in the development of AIM25 including possible consortium services
  • Supporting the Trustees in fundraising for the AIM25 charity

Technical and social media support

  • AIM25news Twitter – management and posting/updates
  • Managing Google analytics for use of AIM25 as a whole, and for individual members
  • Managing Google advertisements on AIM25 and UKAT
  • Answering enquiries from members of the public, submitted to the AIM25 mail box, including redirecting enquiries to relevant repositories
  • Supporting the Chair in the induction of new members, including training support
  • Supporting the Chair in reviewing new collection level descriptions submitted by members and indexing these using UKAT
  • Supporting the Chair in management tasks involving UKAT including enquiries from archive organisations, projects or consortia offering new datasets
  • Supporting the Chair and Trustees in the development of AIM25 including possible consortium services
  • Liaising with AIM25’s technical support (Imagiz Ltd) where necessary to address any technical glitches, downtime of hosting or data sharing requests from members, particularly with the Archives Hub
  • Supporting the Trustees in fundraising for the AIM25 charity
